WebEx Integration - Act-On

Marketing Toolkit
WebEx Integration
img-imp-integration-funnel Cisco® WebEx® is widely recognized as the best webinar delivery platform in the industry.

Act-On integrates with the WebEx service platform and adds comprehensive pre- and post-event marketing capabilities around webinars.

The combination is an end-to-end webinar management solution that fits cleanly into your larger online marketing context.

No setup or configuration is necessary to have your Act-On account working seamlessly with your WebEx EventCenter account. Just log into your WebEx account from your Act-On Webinars page, and Act-On will create and maintain a WebEx connector.

An End-To-End Solution

img-learn-integration-reg Just plan your webinar sessions, build all the creative elements (registration form, email templates), select your invitation lists, decide on the timing of communications, and then sit back as Act-On's programmed automation takes over.

Act-On communicates with WebEx to create the WebEx event. At the appropriate time, it sends out the invitation messages to your lists, and some time later, "Last Chance" messages to people who did not respond earlier. As the event approaches, Act-On sends out reminder messages to registrants with all the information needed to join the event.

If you used multiple mailing lists, Act-On shows you which list is more effective at driving your registrations. If you want to promote your event via ads and Twitter, Act-On gives you trackable links to your event landing page and event registration form that you can use for your ads and in your tweets. The registration dashboard lets you see at all times what is working well and what is not.

As people start to sign up for your event, Act-On automatically updates the WebEx event's attendee list and keeps it up to date. If you plan to charge registration fees for your event, Act-On's registration form can be e-commerce enabled to take credit card payments.

img-learn-integration-dash After the event, Act-On connects automatically with WebEx and extracts the attendee participation list. It also gets a link to the recording of the event, if one was made.

By comparing the list of attendees against the list of people who were originally invited, Act-On suggests follow-ups that are appropriate for the level of interest shown. For example, a "Thank You" message with a call to action to people who attended, a "Sorry We Missed You" message containing a link to the recording, and so on.

Spend Less, Do More

If you run a lot of webinars, Act-On can save you tremendous amounts of time and effort.

You can jumpstart new webinar creation by using a successful past webinar as a blueprint for the new one. Act-On can automatically inherit and adapt the creative and scheduling elements to the new webinar. The utility of this feature cannot be overstated.

If you run large multi-session webinars that are delivered using different WebEx sessions at different times, Act-On will feel like the answer to your prayers. Just set up the first session, tell Act-On about the additional session times and watch it generate *everything* needed for these sessions automatically.

Act-On handles the promotion and last chance campaigns for all the sessions in a unified way. As people sign up for specific sessions, it manages the reminders and followups for each session separately. Finally, it rolls up the data from all the sessions in generating the overall reports.

WebEx & Salesforce, Together At Last

img-learn-integration-sfdc-campaigns Have Act-On automatically create a Salesforce campaign to track the progress and status of your webinar. (Alternatively, you can select an existing Salesforce campaign to associate with your WebEx webinar.)

As people respond to your webinar invitation messages and sign up for your webinar, Act-On automatically updates the Salesforce campaign members and their corresponding campaign status codes back in Salesforce.

After the webinar, Act-On pulls the attendance and participation data automatically from WebEx. For webinar participants who are Salesforce leads or contacts, their Salesforce campaign status codes are updated automatically to reflect their attendance.
